Email & Communications Policy

Haven Home sends email to support user accounts and the residential-school workflows configured by participating schools. This policy explains the main categories of email, how optional preferences work, and how Haven Home handles delivery problems.

1. Where recipient addresses come from

Email addresses used for school operations are generally provided by participating schools, students, guardians, staff, or other authorized users in connection with a school's Haven Home deployment. Haven Home does not use purchased, rented, or scraped recipient lists for these communications.

2. Account and security messages

Account activation, password or access workflows, and important account-security notices may be sent when necessary to create, secure, or maintain access to Haven Home. These messages are not treated as optional marketing subscriptions.

3. Required operational messages

Some messages may be reasonably necessary for a participating school to operate residential-life workflows or communicate important operational information. Depending on the school's configuration, these may include required registration actions, accountability or safety-related information, and other workflow-critical notices.

Because these messages support the service or required school operations, they may continue to be sent even when optional email categories are disabled.

4. Optional operational messages

Other communications—such as routine presence updates, reminders, summaries, or noncritical notifications—may be designated as optional. Where supported, recipients can manage these categories individually using the secure email-preferences link included in eligible messages.

Changing optional preferences does not disable account/security messages or communications designated as required for school operations.

5. Product and marketing communication

If Haven Home sends product announcements, promotional messages, or other marketing communication in the future, those messages will be treated as optional and will provide an appropriate way to opt out.

6. Preference links

Preference-management links are designed to identify the relevant school and recipient without placing the recipient's email address directly in the public URL. A preference link should only provide access to the optional communication settings associated with that recipient and school.

7. Bounces, complaints, and suppression

Haven Home may suppress an address from further delivery when an email hard-bounces, a recipient submits a complaint through an email provider, the address is manually suppressed for a valid operational reason, or another deliverability condition indicates that continued sending would be inappropriate.

Deliverability suppression is separate from recipient preferences. A suppressed address may be blocked even when an optional preference is enabled.

8. School communication choices

Participating schools determine which supported workflows and notification rules they activate, subject to Haven Home's platform safeguards and communication classifications. Schools should use operational email only for recipients and purposes connected to their legitimate use of Haven Home.

If you believe you received a Haven Home message in error, have a deliverability concern, or need help with email preferences, contact contact@havenhome.life. When appropriate, you may also contact the participating school identified in the message.
